Travel Terms


The Event

Nordic Adventure arranges all trips in cooperation with local tour operators, Air Greenland, Iceland Air, and Atlantic Airways. Profil Rejser A/S is technical organizer on all trips.
 

Order and Payment

Customers may order travel with Nordic Adventure through telephone, email, or personal appearance in our office. Nordic Adventure will send a confirmation of your ticket and tour, and we ask you to carefully review these papers, that they equal the requested travel/trip. The order is binding for both parties, upon the receipt of the deposit per person. The remaining amount must be paid latest 6 weeks before departure or commencement of the tour or event, unless otherwise stated. The remaining required travel papers for the tour will be sent at the latest 7 days before the start of the travel.
 

Changes and Delays of Travel/Event

If a client wishes to make changes to already confirmed travel agreements, a handling fee of 500 DKr. will apply.
 
In the high season and holiday season, Nordic Adventure reserves the right to decline any changes after confirmation of the travel/event agreement. Any change less than 6 weeks prior to start of the event is considered a cancellation.
 
In the case where only flight tickets have been ordered, or a land event arranged, other rules apply.
 
Please be aware that the actual execution of the travels, including the flights to/from and within Greenland, Iceland and the Faeroe Islands, takes place under circumstances, which may cause delays and/or diversion of the route. Outings, like hiking and other pre-paid events, are also subject to weather conditions, and Nordic Adventure reserves the right to change programmed events or trips. Potential expenses for participants' own change of travel, lost work compensation, etc., are not the responsibility of and will not be reimbursed by Nordic Adventure.
 
The technical organizer reserves the right to make necessary changes caused by insufficient participation. If the client, in such an event, no longer wishes to participate in the planned travel arrangements, the paid amount will be fully reimbursed; however, the client is hereafter entitled to no further compensation. The technical organizer may cancel a planned trip up to 20 days before departure. If a suitable replacement travel is not found, the full amount will be reimbursed to the client. The client may not claim any further compensation from Nordic Adventure.
 

Price-changes after Travel Agreement

Nordic Adventure reserves the right to change the price of a travel arrangement after the agreement has been confirmed. Price changes may occur as a consequence of changes in currency exchange rates, transport prices, including fuel prices, taxes, or fees for services, like airport, landing, starting fees, etc. A price increase must be communicated at the latest 20 days before departure and may not exceed 10% of the total advertised value of the travel/event. If these conditions are not met, the client may cancel his or her travel/event at no additional cost.
 
It is a condition, however, that the client informs Nordic Adventure of such a decision immediately after being informed of the price increase. In the event of a price decrease, the customer will also be informed. If a decrease occurs within 20 days before departure, the client may not demand a price reduction. If domestic taxes are reduced or eliminated before departure, Nordic Adventure is responsible for compensating the client, if the amount exceeds 100 DKr.
 

Travel Cancellation

The cost of cancellation more than 6 weeks before departure is 1000 DKr (the deposit).
The cost of cancellation between 6 weeks and 14 days before departure is 50% of the price of travel.
The full amount is withheld in the case of cancellation less than 14 days before departure.
 

Cancellation Due to Sudden Illness

We recommend to take out travel insurance, which will cover all costs of cancellation, if participation in the travel is impossible or has been made significantly difficult due to death or sudden illness, which requires hospitalisation, staying in bed ordered by a doctor, or similar, for yourself or spouse, parent, parent in law, child, grandchild, sibling, grandparent, sister-in-law, brother-in-law, or travel companion. Please be aware that, if the person causing the cancellation is 75 years of age or more, the reimbursement is limited to a maximum of 20000 DKr. per person, even if the insured amount is higher. This insurance protection requires a doctor's statement to be submitted within 1 week of the cancellation. If a doctor's statement is not submitted, or if the cancellation is due to other reasons, the normal rules of cancellation apply. The amount is paid together with the deposit and is not refundable.
 

Travel-insurance

The traveller is responsible for any costs that arise due to illness, hospitalisation, etc. during travel, unless the travel company can be held responsible. It is clearly recommended to take out travel insurance to cover accident, death, treatment of illness, home transport, and loss or damage of luggage.

Only Plane

If the travel only includes plane, Nordic Adventure only act as go-between for the airline company. The airline company itself is solely responsible for the execution of the transport agreement.
 

Airline Company Responsibility

The participating airline companies take no responsibility for events that occur at times, where the passengers are not on board an aircraft belonging to the airline company. For responsibility for checked-in luggage, please refer to the airline company's own rules and regulations.
 

Client Obligation

The client is responsible for possessing a valid travel passport and for acquiring the necessary visas and vaccinations. The client is also responsible for making sure that names appear correctly in passport, ticket, and other documents. If this is not the case, it may lead to rejection of the passenger at airplane check-in. The travel agency is not responsible for the consequences of submitting false information, which the agency has had no possibility of checking.
 

Claims

Eventuelle reklamationer under rejsen skal fremsættes overfor luftfartselskabet, eller rejsebureauet inden rimelig tid efter at kunden har opdaget manglen, således at manglen/fejlen kan afhjælpes med det samme og med mindst mulig ulempe for den rejsende. Rettes reklamationen direkte til det relevante luftfarsselskab eller til bureauet, bør du sikre dig bevis herfor, hvis manglen/fejlen ikke kan rettes på stedet og du evt. senere ønsker at rejse erstatningssag mod selskabet. Manglende reklamation vil normalt medføre tab af retten til senere erstatningskrav.
 

Low price Tickets

If you want to take advantage of the many inexpensive ticket types on the market, and combine these on different routes, these must be issued as separate documents. Such tickets often may not be changed, cancelled, or refunded. That means you carry the risk and responsibility for any delay that may cause you to miss a connection. The travel agency or the airline company are NOT responsible for any additional cost for new ticket, overnight stays, etc. caused by such delays or missed connections.
It is possible to take out a special insurance to cover such additional costs, should they occur.
 

Flight Times in Travel-plan and Tickets

Times listed in the travel plan or on the tickets are always local times. After issuing the ticket and travel plan, times may change. Therefore, always check departure times in the documents received. Contact the travel agency immediately, if the listed times deviate from the original order/confirmation, so any potential error is corrected before departure.
 

Check-in Times

It is recommended that you already at arrival at a destination airport inquire about actual check-in times. Information from Nordic Adventure or the airline company regarding departure, gates, and terminals are only guidelines; it is not binding. Conditions may arise that cause departure change from one gate/terminal to another. Therefore always check gate and terminal also at plane change with short time intervals.
 

Taxes

Some taxes apply to the plane ticket itself; however, other airport- and tourist-taxes have to be paid in cash, locally. This is normally indicated in the travel documents. The individual countries may introduce new taxes or increase existing ones, without or with very short notice, so these may change between order, departure, and return time.
 

Transfer of Travel

Due to regulations the travel may not be transferred to another person.
 

Particular Conditions on Special Trips

On special trips, like expedition level trips, certain conditions apply, in regards to travel description-, order-, and confirmation-documents.
 

Responsibility of Nordic Adventures

Nordic Adventure is, in accordance with the Pakkerejseloven law (package travel law), responsible for executing the travel according to the program / price list. The travel organizer takes no responsibility for agreements / promises made without the knowledge of the organizer, between the traveller and the travel agency. The travel organizer takes no responsibility for changes, delays, etc. as a consequence of breach of agreement, general strikes, weather, or conditions outside the control of the organizer.
Nordic Adventure plans events in cooperation with Profil Rejser as technical organizer, registration number 287 in the Rejsegarantifonden (travel guarantee fund).
 

Other Conditions

The travels are executed according to the rules defined for participation in package travel, by Danmarks Rejsebureau Forening (Danish Travel Agency Association) Forbrugerrådets (Danish Consumer Board). Nordic Adventure reserves the right to print errors and price changes due to changes in market conditions.
 

Law and Protection

Any claim against Nordic Adventure will be settled according to Danish law. Claims or suits, which cannot be settled by the Rejse-ankenævnet (Travel Complaint Board), will be determined by official court and court rules of Denmark.
 

 

Facts and Information


 
The Greenlanders have a special name for Greenland; Kalaallit Nunaat - which means land of the people. The language is Greenlandic, but most people also speak Danish, and young people are able to converse in English.
 

Time

The time difference between Greenland and Denmark is 4 hours, so at 12 o'clock in Denmark it is 8 o'clock in Greenland.
 

Climate

The climate of Greenland is Arctic, which means that the air is very dry. The avg. temperature is 5 to 15 °C in the summer time and -5 to -30 °C in the winter time; however, there can be big changes between day and night in the summer time, and the latitude also greatly influences the temperature. Due to the low humidity the summer often feels warmer, and the winter not so cold as the temperature indicates.
 

Clothes / Dress Code

Due to the Arctic conditions it is important to dress properly. The weather may change suddenly, so always keep extra clothes for trips, both on land and at sea. Generally, you should dress according to the layer-upon-layer principle, where the outer layer should be water-, and airtight. It is also important to bring robust footwear, i.e. watertight shoes and hiking boots med rough profiled soles.
 

Rent of Clothes and Equipment

Special clothes, boots, and equipment may be rented at most locations.

Guide/instruktør er med på udvalgte ture, hvilket vil fremgå af programmet for den enkelte rejse.
 

Guide/instructor

A guide/instructor will be accompanying selected trips, which will be highlighted in the program for the trips in questions.
 

The Sun

The sun and the reflections can be very strong, both summer and winter. Reflections are especially strong in the snow, so we strongly recommend bringing sunglasses and high-factored sunscreen lotion.
 

Northern Lights (Aurora)

Northern Lights (Aurora) The Northern Lights appear all year round, but is best experienced on a dark, clear night sky. It is one of nature's wonders, a fascinating phenomenon, caused by the interaction between electrical discharges from the sun and the very special magnetic conditions found at the poles. Northern Lights may appear in many different colours across the sky, like a ray or like dancing light.
 

The Midnight Sun

The Midnight Sun may be experienced North of the polar circle, where the sun, in the period of May to July, appears in the sky 24 hours per day.
 

Extra Equipment

In the summer time there may be many mosquitoes, so it is recommended to bring a lotion or a mosquito net.
UV filters for the camera is a good idea, and films with maximum 100 ASA, due to the strong light. Batteries may run out faster in the cold, so bring a few extra.
 

ID, Passport, Visa and Vaccinations

Citizens from the Nordic countries may travel to Greenland without passport, but have to carry valid picture ID at check-in. Valid ID could be: passport, driver's license, picture credit card, etc. All others are required to bring valid passport, and possibly visa.
No special vaccinations are required for travel to Greenland.
 

Health Care

The health care system in Greenland is up-to-date modern, with fully educated doctors and staff in most cities. Especially complicated cases will be transferred to Nuuk or Copenhagen. It is recommended that travellers bring their own medication for regular use, if so required, since special products may be hard to get.

Facts

The language in Iceland is Icelandic, the closest language to the ancient Norse language, spoken by the Vikings; however, almost everyone understands and speaks English and/or Danish.
 

Time

The time difference between Iceland and Denmark is 2 hours. In the summer (-time), when it is 12 o'clock in Denmark, it is 10 o'clock on Iceland, and in the winter (-time), when it is 12 o'clock in Denmark, it is 11 o'clock on Iceland.
 

Climate

The climate in Iceland is a nice temperate climate, due to the Gulf Stream. Iceland was formed through volcanic activity, and its coastline of torn rock formations, and several bigger volcanoes uniquely characterize the island. Iceland has a wealth of lush, green valleys, big waterfalls, giant glaciers, and hot sizzling geysers.
In the summer, Iceland has 2-3 months of almost constant sunlight, while the sun only appears 2-3 hours per day during the winter months. Another characteristic of Iceland are the powerful storms.
 

Clothes / Dress Code

The type of clothes to wear in Iceland depends on the type of trip. Choice of clothes would vary significantly between hiking trips, riding trips, or hotel vacation in Reykjavik, so please consult with the travel agency before your departure.
However, please remember bathing clothes, since the underground hot springs and geysers offer numerous possibilities of bathing on the island, not least the famous Blue Lagoon.

Citizens from the Nordic countries may travel to Iceland without passport, but have to carry valid picture ID at check-in. Valid ID could be: passport, driver's license, picture credit card, etc.

The language in the Faroe Islands is Faroe, an old Nordic language, a language close to the ancient Norse language, spoken by the Vikings; however, almost everyone understands and speaks English and/or Danish.
 

Time

The time difference between The Faroe Islands and Denmark is 1 hour, so when it is 12 o'clock in Denmark, it is 11 o'clock in the Faeroe Islands.
 

Climate

The Faroe Islands have a temperate island climate, and the weather is very unsettled. One moment the sun will be shining from a clear sky, and the next it is overcast and rainy. The avg. temperature is between 3 and 11 °C in the summer time. In the wintertime, it snows, but snowing is typically of short duration.
The air is always clean and fresh, no matter which time of year you are there.
 

Dress code

The weather may change suddenly, so always keep extra clothes for trips, both on land and at sea. Generally, you should dress according to the layer-upon-layer principle, where the outer layer should be water-, and airtight. It is also important to bring robust footwear, i.e. watertight shoes and hiking boots med rough profiled soles.
 
It is strongly recommended to bring high-factored sunscreen lotion, sunglasses, and binoculars. The sunglasses will help screen the strong sunlight from above, and with the binoculars you can enjoy the magnificent views and the rich bird life.
